Compensation: $90,0000 to $100,000 annually
ESSENTIAL JOB FUNCTIONS:
Project Management
- Working with the Property Manager and Area Vice President create and maintain budget, project plan and schedules for capital improvements, deferred and preventative maintenance, building construction including HVAC, fire suppression systems, electrical, building maintenance contracts, building signage, security installations, furniture, etc.
- Obtain bids for work from outside contractors and vendors. Assemble, analyze, and submit bids to the Business Manager with a recommendation for action; acknowledge receipt of all goods and materials delivered to the site for maintenance and repairs; Manage on-going contracts with contractors and vendors.
- Along with the Property Manager, supervise and approve all work performed at the site by outside contractors. Ensure quality control of subcontractors, maintenance staff.
- Procure & maintain adequate inventory of all supplies. Manage vendor relationships. Coordinate regular inventory of facilities assets.
- Develop and implement energy management processes to improve environmental sustainability and optimize costs associated with energy, utilities, and waste disposal.
- In alignment with the Property Manager, Area Vice President and Corporate Departments, enforce and develop standardized policies and procedures within maintenance department insuring standardized operations, compliance with Federal, state and local laws, in line with industry best practices, and safety plan.
- Prepare monthly/weekly reports, including budgets, schedules, HR, inventory, performance goals.
Maintenance Management
- Work with Property Manager in developing proactive maintenance, deferred/preventive maintenance plans, systems repairs / replacement of electrical, mechanical equipment, and other systems, equipment and facilities. Conduct regularly scheduled inspections of the above.
- Coordinate and track building maintenance inspections on a periodic and recurring basis. Ensure that work conditions are clean, safe and conducive to efficient operations. Ensure the spaces meet company standards and safety compliance.
- Coordinate and track inspections with local enforcement agencies as needed.
- Work with Property Manager to ensure property maintenance is aligned with expectations. Ensure buildings are operated and maintained consistent with facilities policies and procedures.
- Coordinate with Maintenance Supervisor to effectively implement work procedures and techniques to: eliminate underutilization of personnel, review status of work load and other information on the efficient operation of the department.
- Identify and address any known life-safety hazard at the site. Conduct regular safety meetings with the maintenance staff. Ensure compliance with all Hazardous Materials and OSHA requirements.
- Ensure compliance with OSHA and safety training. Enforce/enact company safety plan and policies, including documentation and training.
- Create and maintain a positive environment for staff and promote an exceptional quality of life for the residents of the community.
- Regularly attend and/or participate in training opportunities to maintain high technical, administrative and managerial competency levels.
Maintenance Supervision (coordinate with / supervise the Maintenance Supervisor)
- As needed in cooperation with the Maintenance Supervisor, supervise employees and outside contractors in apartment renovation such as cleaning, painting, carpet replacement, counter repairs, appliance repairs, etc. Direct employees and outside contractors in response to Maintenance Service Requests and in performance of structural repairs to masonry, plumbing, woodwork, irrigation systems, swimming pools, spas, etc.
- Coordinate work activities and services from vendors and other contractors. Coordinate supervision of vendors.
- Coordinate and manage emergency, scheduled and special repairs for mechanical, electrical, plumbing, glass and carpentry repairs, in addition to any other needed facility related items.
- Review work orders and transmit proper interpretation for the “technician” performing the work.
- Provide oversight of the cleaning and landscaping services contractors.
- Ensure all human resources procedures for the service delivery teams are conducted according to policy. In cooperation with the Property Manager and Maintenance Supervisor, perform associate annual reviews, candidate selection, changes in mainatenance staff assignments. Works with HR Director, PM and AVP on employee relations issues.
- Ensure facilities spaces are kept clean, safe, orderly and organized, and ensures that there is a current inventory at all times.
- With the Maintenance Supervisor, maintain employee work schedules including assignments, job rotation, training, vacations and paid time off, coverage for absenteeism, and overtime scheduling.
- Coordinate with building operations for utility, facility, or other shut-down activity that can affect operations.
- Set objectives to more effectively implement work procedures and techniques to eliminate underutilization of personnel. Report status of work load and other information on the efficient operation of the department.
- Complete other duties as assigned.
Education/Experience
- Must be professional and possess exceptional interpersonal skills.
- Must possess demonstrated problem-solving skills, an ability to recognize and define problems, and skill in implementing effective solutions.
- Excellent computer skills including Outlook, Word, Excel, MS Project and facilities management software. AutoCAD a plus.
- Ability to prioritize work in order to address emergencies.
- Demonstrated ability/experience to prepare policies and procedures, scopes of work, RFP’s, project schedules, and review and analyze bids and interview service providers. Ability to prepare reports as requested.
- Must be organized, detail oriented, resourceful and have excellent communication skills.
- Superior written and oral communication skills.
